The Automation Stack That Runs My Business While I Sleep

There was a season in my business when I was doing everything manually. Every new client inquiry was answered by me personally within the hour. Every follow-up email was written from scratch. Every podcast episode was uploaded, captioned, and scheduled by hand. I wore my busyness like a badge of honor, and I was quietly burning out.


The turning point came when I missed a speaking opportunity because I did not respond to an inquiry quickly enough. The organizer had moved on. It was not a lack of interest or capability on my part. It was a systems failure. I made a decision that day that I would never again let a business moment slip through the cracks because I was too busy doing low-value tasks to respond to high-value opportunities.


What Automation Actually Means for a Personal Brand

When most people hear automation, they think of robots or cold, impersonal systems. But the automations I have built do the opposite. They create warmth and responsiveness at scale. A potential client fills out my inquiry form and within two minutes they receive a personalized welcome email that sets the tone for our relationship, includes links to my work, and books a discovery call. That is not impersonal. That is impressive.


The goal of automation is not to remove the human element from your business. It is to protect your human energy for the moments that actually require it. I want to be fully present in a strategy session with a client. I want to be completely focused when I am moderating a panel at a summit. Automation makes that possible because it handles everything else.


The Three Areas I Automated First

  • Lead nurturing: From inquiry to booked call, an automated sequence introduces me, shares social proof, and answers the most common questions before we ever speak.
  • Content distribution: Every episode of Simply Success with Philomena is automatically published across Spotify, Apple Podcasts, Amazon Music, and YouTube via RiversideFM, with social posts scheduled in advance through Buffer.
  • Client onboarding: New clients receive a complete welcome sequence, contract, and project intake form automatically, which means they feel taken care of from day one without me lifting a finger after the agreement is signed.

The Stack I Use and Why

My podcast begins at RiversideFM, where I record every episode in broadcast quality. From there, the recording feeds into Descript, where AI handles transcription and I do a quick edit before the file is formatted for distribution. Captions are generated automatically, short clips are pulled for social media, and the transcript is sent to my AI assistant to generate show notes, a blog post, and email newsletter copy.


For email, I use a platform that allows me to build sequences once and let them run indefinitely. Someone joins my list today and they receive a curated onboarding sequence that introduces my brand, my story, and my services over the course of two weeks. By the time they hear from me personally, they already feel like they know me. That relationship foundation is built by automation.

The CEO Mindset Shift That Made It All Click

The mindset shift that made the biggest difference was learning to ask one question about every task: is this something only I can do? If the answer is no, it gets automated or delegated. Writing a personalized birthday message to a client? Only I can do that. Writing a confirmation email for a discovery call? A system can do that. Once I started sorting my tasks through that lens, my entire business transformed.
